This Privacy Policy explains how WEBLAB, LLC (“Company,” “we,” “us”) collects, uses, and protects your information when you use the Chat Octopus website and service (“Service”). By using the Service, you agree to the practices described here.

• Account information: email address and display name when you create an account.
• Content you upload: files (video, audio, images, PDFs, documents) and text prompts you submit for processing.
• Communications: messages you send to us via email or support channels.

Information collected automatically

• Usage data: pages visited, features used, and interactions with the Service, collected via PostHog (hosted in the EU).
• Device information: browser type, operating system, and screen resolution.
• Server logs: IP address, request timestamps, and performance metrics collected through Vercel’s infrastructure for operational monitoring.

2. How we use your information

• To provide the Service: process your files, generate output, and deliver results.
• To improve the Service: analyze usage patterns to identify bugs, improve features, and understand how the Service is used. We do not use your uploaded content to train AI models.
• To communicate with you: respond to support requests, send service updates, and notify you of material changes.
• To maintain security: detect and prevent fraud, abuse, and unauthorized access.

3. Cookies and tracking

We do not use advertising cookies or sell your data to third parties. You can disable non-essential cookies in your browser settings, though this may affect functionality.

4. How we handle your content

Files you upload are processed on secure servers to fulfill your request. Once processing completes, uploaded source files are deleted unless you explicitly save them. Generated output is stored in your conversation history until you delete it or your account is closed.

We do not access, review, or use your content for any purpose other than providing the Service, except where required by law.

5. Third-party services

We use the following third-party services to operate and improve the Service:

• Supabase: authentication and database hosting.
• Vercel: application hosting and server-side performance monitoring.
• PostHog: product analytics (EU-hosted).
• FFmpeg API: media processing (video, audio, image operations).

These providers process data on our behalf under their own privacy policies and our data processing agreements.

6. Data retention

We retain your account information for as long as your account is active. Conversation history is retained until you delete it. Uploaded source files are deleted after processing. If you close your account, we will delete your data within 30 days, except where retention is required by law.

7. Data security

We use industry-standard measures to protect your data, including encryption in transit (TLS) and at rest, access controls, and secure infrastructure. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Children’s privacy

The Service is not directed at children under 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us at support@chatoctopus.com and we will promptly delete it.

9. Your rights

Depending on your location, you may have the right to:

• Access, correct, or delete your personal information.
• Object to or restrict certain processing activities.
• Request a portable copy of your data in a structured format.
• Withdraw consent where processing is based on consent.
